Exhibition Stand Design Backwall Graphics Logistics & Freight Distributors Meeting Lead Generation On-site Coordination

ESCMID Global is where the infectious diseases world meets once a year. 16,000+ attendees, hundreds of exhibitors, a different city every edition. Since 2023, I've managed Molzym's presence at the congress: stand concept and production, freight across Europe, lead generation, and a dedicated evening event for our international distributors. Every year, new venue, new floor plan, same question: how do you make it all work again from scratch? Four editions in, the answer is a system that runs whether I'm in the room or not.

the challenge

New city every year. A budget that doesn't compete with the multinationals two aisles over. And the fact that managing a congress stand goes far beyond reserving the space and choosing the furniture.

It's everything around it. Freight coordination, badge registration, floor plan decisions, hotel logistics, budget tracking. Down to packing a pair of scissors so the team doesn't end up stuck on-site trying to open boxes with their bare hands. It's project management, full stop.

The real challenge wasn't doing it once. It was making sure it worked just as well the fourth time, in a different country, with a different floor plan.

the approach

Phase 01

Stand Design & Production

Stand Design

A 20m² open stand, designed in-house and built with our exhibition partner A-Booth. The concept evolved with each edition: a single printed backwall in Copenhagen 2023, a two-wall setup in Barcelona 2024, a full three-wall configuration by Vienna 2025. Munich 2026 is the first edition under the Bruker umbrella, and the stand was designed to reflect that shift.

Phase 02

Logistics & Operations

Logistics

Floor plan selection, hotel logistics, badge registration, freight coordination across Europe, internal planning for the full team on-site. The part of the job that nobody sees unless something goes wrong. From 2024 onward, I managed the full pre-event and post-event process remotely from Bremen, which meant building a workflow clear enough for the team to run the ground operations without real-time input from me.

Phase 03

Distributors Meeting

Distributors Meeting

A dedicated evening event for Molzym's international distribution network, organised alongside the congress. Around 20 attendees, built around company updates, end-user case studies, and dinner. Professional but not corporate. The kind of setting where people actually talk. I handle the full event each year: venue scouting in the host city, catering, budget, and partner coordination. Delivered in Copenhagen (2023) and Barcelona (2024).

Phase 04

Brand Moments

Brand Moments

Two editions stand out. Copenhagen 2023 was the public debut of Molzym's full rebrand: new logo, new collateral, new visual identity shown for the first time at a major congress. Munich 2026 marks the next turning point, the first ESCMID under Bruker, with a stand designed to reflect that transition.
